How to digitize mortgage pre-approval without losing control of your documents
Employment letters sent by email, bank statements sitting in shared folders and rework that slows every answer. What we learned helping a top-5 Colombian bank run more than 1,500 mortgage credit reviews a day.
A market that moves fast
Colombian home lending rebounded in 2025. According to Camacol, the national construction chamber, 182,578 homes were financed and disbursements reached COP 29.2 trillion, a 19.7% real increase over 2024. More demand means more applications, and more applications mean more documents coming in, being reviewed and being retained every single day.
The trouble is that many origination processes were designed for lower volumes and in-branch service. When demand grows, shortcuts creep in:
- Email as the intake channel. Unencrypted attachments, shared mailboxes and no record of who opened what.
- Network drives and manual downloads. Someone downloads a file, renames it and uploads it to document management. One mistake and the loan file is incomplete.
- Systems that don't talk. The channel where documents arrive isn't connected to the one that makes the credit decision.
- After-the-fact compliance. Audit evidence gets reconstructed later instead of being captured as work happens.

Five keys to digitizing pre-approval
1. Start with the document's journey, not the screen
Before designing the applicant experience, map which documents you request, where they come in today, who touches them and where they end up. You'll usually find duplicate copies in mailboxes and folders nobody manages, and that's precisely the risk you need to close.
2. One secure channel in and out
If customers can send documents by email, by messaging app and through a portal, the bank has three attack surfaces. A single encrypted, authenticated channel simplifies the applicant's experience and the bank's control at the same time, and lets responses go back out through the same protected path.
3. Integrate with document management from day one
The value shows up when each incoming file is delivered automatically to the system of record with the right metadata: application number, document type, date. The loan file builds itself and underwriters work from complete information.
4. Automate the decision where the rules are clear
Not everything needs a human. When credit policy is well defined, an automated workflow can prepare the pre-approval and leave human review for the exceptions. That frees capacity to handle more applications without growing headcount at the same pace.
5. Make compliance a by-product
Encryption, access control and audit logging should be configured in the platform, not left to each user's discipline. When auditors arrive, the evidence already exists: who sent what, when, and who viewed it.
